Reconcile changes in head numbers using the lost and found function

Recording changes in head numbers not related to sales or purchases. How to use the lost and found function to adjust head numbers

Occasionally your physical count of head numbers for your herd/mob may be different to what is recorded in Maia. This could be for many reasons such as, animals may be accidentally left behind in a paddock/ pasture during round ups or mustering, or animals may escape into another paddock/pasture and join another mob/herd. To enter temporary, unverified changes in numbers of animals it is recommended that the lost and found function is used.

*NOTE: If your head count is incorrect due to a sale or purchase event then it is best to edit these events to the correct head count rather than using a lost and found transaction.

Step 1. Go to the mob/herd management screen of mob/herd you need to record the lost/found event for:

  • Click on the 'Operations' tab at the top of the MaiaGrazing screen. (1.)

  • Click on 'Livestock' from the left hand menu. (2.) This will open the Mob List page.

  • Click on the mob/herd name that you need to edit in the list. (3.)

This will take you to the mob/herd management screen for this mob/herd.

Step 2. Display the stock available in the mob/herd for the day that the animals were lost/found.

  • Click in the date box underneath 'Displaying stock numbers for' (4.)

  • Select the date of the lost/found event by clicking on the appropriate day in the calendar.

Step 3. Find the stockgroup and edit the number of head to record the lost/found event.

  • Scroll down the screen until you find the stock group that you need to edit. (1.)

  • Hover your mouse pointer over the three dots to the right of the stock group.

  • Select 'Edit' (You can also double click inside the stock group box to open the edit function) (2.)

  • Type the number of remaining head in the data entry box. (If you had 10 head and wanted to record a loss of 1 head you would type 9 in this box.) (3.)

A dropdown box will appear asking for a reason for the increase or decrease in head.

  • Click on the drop down box. (4.)

  • Click on the reason for the change in head.

  • Click on save. (5.)

Explanation of terms.

Reasons for Decrease:

  • Death – These animals have died

  • Lost The number in MaiaGrazing is greater than that counted in the mob/herd, and their location is unknown.

  • If they came from another herd, use the split function to move them over!

  • Rations – These animals have been culled for on farm consumption (Did I hear someone say steaks?)

Reasons for Increase:

  • Birth – These animals were recently calved, branded, or weaned, and need to be added to the system.

  • Found – The number in MaiaGrazing is less than that counted in the mob/herd, so the number of head in MaiaGrazing needs to increase.

Example:

I had 10 cows in Mob/herd A.

I had 5 cows in Mob/herd B.

2 cows from Mob/herd A escaped into another paddock/pasture and joined Mob/herd B.

I would enter a lost for Mob/herd A in MaiaGrazing.

I would enter a found for Mob/herd B in Maia Grazing

Now MaiaGrazing shows and calculates feed demand for the:

8 cows in Mob/Herd A

7 cows in Mob/Herd B
